SYNC MAIL ACROSS DEVICES

For those users who access your email across a variety of devices, it can be advantageous to sync not only your inbox and folders, but also your sent mail items across all of your devices. Here are a few steps to help with that.

Please note – for this example, we are using Outlook 2013 and an iPhone 6. If you are using different programs/devices, you will need to check with the manufacturer to compare the settings required as outlined below.

STEP 1: CHECK YOUR WEBMAIL SETTINGS

  • Log into webmail; click on HORDE.
  • Along the top, click on the gear icon, and select PREFERENCES > MAIL
  • Click on FOLDER DISPLAY; ensure that the ‘Use IMAP mailbox subscriptions’ is checked on

STEP 2: SET UP YOUR IMAP ACCOUNT IN OUTLOOK

  • In order for this set up to work, you must have your Outlook (or other) account set up as IMAP. If you do not have an IMAP account, you will need to recreate the account in Outlook as IMAP. To do this, simply delete the old email account from Outlook, and create it again using IMAP.
  • Setting email up for IMAP is very similar to a POP3 account:
  • When you get to the step for select POP3 or IMAP, select IMAP.
  • When you are nearly complete your email set up, click on the MORE SETTINGS > ADVANCED tab.
  • Under FOLDERS, type inbox into the space provided; click OK and FINISH the account set up.
  • Now, all of your emails sent from Outlook will sync to your webmail, and vice versa.

STEP 3: SET UP YOUR IMAP ACCOUNT IN IPHONE

  • Open your Mail Settings and ensure that you email account is set up as IMAP.
  • In the account details, click on ADVANCED > SENT MAILBOX.
  • Change the default option from SENT (the default setting) to ON THE SERVER > SENT simply by selecting that option.
  • Remember to back out and click DONE.
  • Now, all of the messages that you send on your iphone will be copied in your sent box in Outlook as well as webmail.

STEP 4: SYNC YOUR TRASH BIN (optional)

  • In the account details, click on ADVANCED > DELETED MAILBOX.
  • Change the default option to ON THE SERVER > TRASH simply by selecting that option.
  • Remember to back out and click DONE.
